Tradeshow Coordinator & Marketing Communications Assistant

This person?s main responsibility will be the successful coordination of all tradeshow activities, including searching for and evaluating opportunities to create the most leverage for MSDSonline?s marketing efforts and ensuring that the necessary planning, logistics, and follow-up procedures are in place for all speaking events and tradeshows.

PRIMARY DUTIES AND RESPONSIBILITIES:

Key responsibilities include but aren?t limited to:

Tradeshow and Speaking Events

  • Coordinate, and execute all events and tradeshows including running pre-show planning meetings, creating post-show reports and conducting post-event measurements and follow-ups to deliver an effective program
  • Responsible for all communication on the planning, requirements, correspondence and logistics of every event to internal participants and ensuring an accurate event list/calendar is posted and updated as needed
  • Order all speaking and exhibiting services as well as booth-space furnishings
  • Administrative oversight of all sales leads obtained at events
  • Oversee pre- and post-show marketing campaign opportunities
  • Organize, prepare, pack, and make shipping arrangements for tradeshow materials ensuring timely and cost effective delivery
  • Serve as the point of contact for all event-related inquires, both internally and externally
  • Oversee maintenance and quality of display materials and handle repair and replacement requests
  • Oversee all show budgets including tracking, monitoring, and reconciling expenses and invoices
  • Complete all activities and projects on-time and within budget
  • Help build, manage and update the company events list; including events under consideration, pending approval and confirmed
  • Research, evaluate and propose new and additional speaking opportunities and events
  • Work effectively and efficiently in an independent fashion and within cross-functional teams that include executive team members

Other:

  • Assist in creating, editing and proofing marketing collateral and other communication materials as needed
  • Assist with managing publication listings, memberships, subscriptions and media contact lists
  • Assist with exporting, formatting, analyzing and delivering activity reports for a variety of purposes ranging from newsletters to event expenses to Google analytics
  • Work closely with sales to align marketing and sales objectives and strategies
  • Execute various other administrative projects on an as-needed basis

?REQUIRED SKILLS/QUALIFICATIONS/PHYSICAL ACTIVITES & WORKING CONDITIONS:

  • 1+ years proven hands-on experience in coordinating tradeshows and/or events and working against and meeting deadlines
  • Bachelor?s degree in marketing or closely related field preferred.
  • Must possess strong decision-making and critical thinking skills, be extremely detailed oriented, well-organized and able to manage several activities at once
  • Outstanding verbal and written communication skills, customer service, and interpersonal skills
  • Self-motivated, dependable and persistent
  • Stress-tolerant, adaptable, cooperative and collaborative
  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint and Excel)
  • Experience using Adobe products (Acrobat, Photoshop, Illustrator), QuarkXpress and social media applications (blogs, Facebook, Twitter, LinkedIn, etc.) is a plus
  • Ability to lift, move and carry up to 50 pounds
  • Substantial computer use required, as well as other general office functions
